Reserve at Jokers Hill

Staying in the multipurpose building requires sharing space with fellow researchers and visitors. This requires cooperation and compromise from all parties. Rooms are shared, with 4 beds per room. You agree to:

• Keep spaces clean
• Maintain quiet hours (between 10pm & 7am)
• Keep research equipment/materials at the lab. No materials are to be stored in the multipurpose building, and no samples are to be stored in the fridges or freezers
• Respect your fellow researcher’s space, time and belongings. Do not play music loudly, do not take things that do not belong to you
• Store your belongings in your assigned room. Anything brought into common spaces needs to be cleaned up when you are done using it

Outdoor Shoes

Outdoor shoes are not allowed inside in any space, as it makes cleaning and sweeping the space extremely difficult and time consuming. You are required to take off outdoor shoes at all exits and store them on the provided shoe racks and trays. If desired, you may wear a pair of exclusively indoor shoes. Anyone found tracking mud or dirt inside will be responsible for cleaning it.

All kitchen space in the multipurpose building is shared. You agree to:

• Wash dishes immediately. No dishes are to be left in the sink. Factor this time in when you plan on cooking/eating
• Share kitchen space with others. Be mindful of the space you take up and the time you take to prepare meals
• Empty out the previous load of dishes if you are using the dishwasher
• Rinse off large food waste before putting dishes into the dishwasher
• Label any food that you leave in the cupboards and fridges
• Share fridge space. Each researcher should not use more than ½ a shelf of fridge space
• Place pantry items only in marked cupboards
• AVOID ALLERGENS, particularly nuts. Some allergies are severe enough that even using a utensil touched by an allergen can be fatal

You will be provided an access code to both the building, your individual room and the lab. These codes are confidential, and are to be used exclusively by building residents and users (no partners, lab mates, friends, family, etc). All doors with keypads lock automatically upon latching You agree to:

• Ensure that exterior doors latch completely when entering or leaving the building
• Not share codes with anyone. Anyone who needs a code will receive one from KSR Staff.
• Not open the door for anyone without a code. If you are unsure about whether someone is meant to be on site, contact KSR staff

KSR is a professional work environment. We encourage residents to bond and relax after work hours, but we ask that this stay within reasonable limits. The legal age of consumption in Ontario is 19 years of age. Underage consumption is strictly prohibited. Any illegal substances are strictly prohibited, and consumption will result in your removal from the property.

Alcohol

KSR’s official alcohol policy is as follows: Hard alcohol and spirits (whisky, vodka, gin, tequila, rum, etc) are forbidden. At some KSR functions, alcohol may either be served or available on a bring your own basis, but non-alcoholic options will always be available. Inebriation during working hours is not acceptable. Excessive consumption that places yourself, KSR staff, users, students, or facilities at risk, even outside working hours, will be addressed directly by the Director and relevant supervisors. If you are of age and choose to consume on the property, you agree to:

• Know your limits. Disorderly conduct and property damage will not be tolerated
• Clean up after yourself. Cans, bottles and cups are not to be left on surfaces
• Stay out of the water after consuming any alcohol
• Not provide alcohol to anyone under the legal age of consumption

Marijuana

Smoking is strictly prohibited on the property and in all KSR buildings. If you choose to partake in other ways you agree to:

• Know your limits and behave accordingly
• Not provide access to anyone below the age of consumption

Tobacco

Smoking is strictly prohibited on the property and inside all buildings

You are responsible for maintaining cleanliness in shared spaces. While professional cleaners will occasionally be called in after large groups visit the space, day to day cleaning is the responsibility of the residents. This includes: showers, bathrooms, sinks, kitchen counters and sinks, fridges, sweeping hallways and communal spaces. This cleaning is non-negotiable, as everyone is responsible for maintaining a sanitary living space.

Cleaning Schedule

To help facilitate cleaning personal and common use spaces, a cleaning schedule will be established and communicated by the Station Manager. One day a week will be a dedicated “cleaning day” where residents are expected to clean common spaces. This includes sweeping, cleaning showers and toilets, washing counters, cleaning sinks, cleaning fridges and throwing out rotting food, cleaning cooking surfaces and ovens.

Specific responsibilities will rotate by room. If you are unable to clean for any reason, it is your responsibility to contact the Station Manager as soon as possible.

Cleaning Charges

In the event that common spaces are not cleaned properly, or not cleaned regularly, professional cleaners will have to be called in. The cost of these services will be charged directly to supervisors.

Residents are responsible for providing their own laundry supplies. Each room is provided with a laundry basket and drying rack for air drying clothing if desired. You agree to:

• Retrieve and transfer laundry as soon as it is finished. Do not leave laundry sitting in either washers/dryers for hours
• Return laundry to your living space as soon as possible
• Return your designated basket to your room and share it with roommates
• Only dry clothing in your room. Do not leave drying racks in hallways or common areas

You are responsible for reading the Emergency Preparedness plan for both the multipurpose building and the lab when they are available. Both are currently under revision and finalised copies will be sent to researchers as soon as they are made available.

IN CASE OF EMERGENCY:

Call 911. Communicate your precise location along with the situation. If possible, have someone meet emergency personnel at the entrance to the property. Call and notify the Station Manager once emergency personnel have been notified.

Occasionally, external groups will use meeting spaces in the building, such as the conference room and classroom. Any such events will be communicated to residents as soon as possible. All external visitors will be notified if the building is currently occupied, and will be instructed to avoid areas near bedrooms. Shared use of common spaces may occur.

These visits will only take place during normal business hours. You agree to :

• Communicate any issues to the Station Manager
• Be respectful of meeting spaces during these times

Courses and Bunkie Use

Occasionally, undergraduate courses will stay on site, usually during the months of May or August. During these times, kitchen and shared space use will be high. Specific dates will be clearly communicated to all residents. Undergraduate courses will be housed in the bunkies, but will require access to kitchen spaces, common spaces, showers and bathrooms. During these high-use periods, extra mindfulness for shared spaces is required from all parties. You agree to:

• Be mindful of shared spaces
• Not use materials intended for courses
• Communicate any issues as they arise to the Station Manager

Residents are responsible for sourcing their own groceries. KSR staff are not responsible for purchasing or picking up groceries outside of extenuating circumstances. If you are not able to drive yourself, reach out to other residents. Contact KSR staff as a last resort.

KSR follows the University of Toronto Vehicle Usage Policy. In order to qualify to use a KSR vehicle, you must:

• Be over 21 years of age
• Possess a full G License from the Province of Ontario
• Have no faults on your driving record
• Submit a copy of your driver’s license to KSR staff

If you meet these criteria and are interested in using KSR vehicles, contact KSR staff.

If you are using your own vehicle, you are required to provide the make, model and license plate number to KSR staff. KSR does not accept responsibility for damage or theft.

You are responsible for driving safely and responsibly while using KSR vehicles or on KSR property.

Having mail delivered to the property is possible, but can be challenging. Certain mail providers will not deliver directly, and picking up from local offices can be complicated. If you or your supervisor plan on having supplies delivered, please check with KSR staff prior to ordering.

KSR staff is not responsible for picking up supplies/shipments unless prior arrangements have been made.

If you are ordering food to the property, make sure to give detailed instructions. Many food delivery services will not deliver in our area.

Residents are responsible for taking out all garbage, recycling and compost. Garbage can be placed into the bin located on site, while recycling and compost are collected by regional collection services. A schedule will be provided by KSR staff.

NO waste is to be left outdoors, as this attracts animals. Anyone found to be leaving waste outdoors will be responsible for cleaning it.

You are responsible for figuring out a schedule for who is responsible for taking out garbage, recycling and compost. You are responsible for ensuring that all waste is taken out in a timely manner before it starts to smell or leak. If that happens, residents are responsible for cleaning the mess. If you are having difficulty, reach out to KSR staff.

KSR staff are not responsible for taking out garbage, recycling or compost.

Garbage

All garbage is to be placed into the dumpster located near the multipurpose building. You agree to:

• Clear out garbage containers as they become full
• Be mindful of the metal lid of the dumpster. The lid is heavy and can cause injury if operated improperly. Make sure the lid is closed before you leave, as leaving it open attracts animals
• Avoid throwing food waste into the garbage unnecessarily. All accepted food waste is to go into the compost.

Recycling and Compost

Recycling and compost are collected by the Municipality of King. Recycling is picked up on an alternating weekly schedule, while compost is picked up weekly. A schedule will be provided by KSR staff. You agree to:

• Empty out countertop compost containers when they become full. A large, green, roadside container is found in the kitchen. This large container should NOT exceed 20lbs, as this is the weight limit for collection
• Take out compost weekly, even if the bin isn’t full to decrease the risk of smell or leaks
• Rinse out any containers going into the recycling. A large, rolling, roadside recycling container is located in the multipurpose building. This is meant to be left roadside every two weeks
• Leave out recycling/compost as outlined by the schedule provided by KSR staff. This will require walking out containers to the roadside near the main entrance the morning of collection before 7:30am. Do not leave containers out the night before, as they will be broken into by wild animals

Due to fire safety regulations, KSR staff need to be aware of everyone who is staying on the property at any one time. You agree to:

• Notify the Station Manager any time you will be away from the property overnight
• Notify the Station Manager any time you return from being away
• Contact the Station Manager as soon as possible if you foresee any changes to the start or end date of your stay

The gazebo and surrounding pond are popular social destinations for KSR residents and visitors. The gazebo includes barbecues, a small kitchen space, communal fridge, and some water activities and water craft. Note that the tap water in this building is NOT POTABLE but is suitable for washing dishes. You agree to:

• Not swim alone
• Not swim after dark
• Not swim if you have consumed any alcohol
• Clean up after yourself
• Clean up barbecues/dishware/utensils as you use them
• Clean out the fridge as required

Due to our location, we regularly have trespassers enter the property. Most are well-meaning, with some not realizing that KSR is located on private property. The west half of the property, where the new residential building and the lab are located, is off limits to the general public. This includes any trails found on the west half of the property. KSR has a public access trail system on the east side of the property, accessible through the town of Newmarket or the 99 Steps trail. If you see someone that appears to be trespassing:

• If you are comfortable, you can approach and notify them that they are on private property owned by UofT. You can direct them to the public trail system on the east side, named Joker’s Hill Trails on Google and Apple Maps
• If you are not comfortable, notify KSR Staff
• Even if you are comfortable approaching, reach out to KSR Staff to notify them of the incident with a general description of what happened. Trespassers sometimes come back, hoping to sneak by if they don’t encounter the same people

KSR has an absolutely zero tolerance policy for harassment of any kind. If we are made aware that harassment is taking place, it will be seriously investigated and any offending individuals will be removed from the property. This includes workplace harassment, sexual harassment and abuse, bigotry, sexism, racism, prejudice, or any communications in any form that can be constituted as harassment or bullying.

While KSR staff try to be present and aware of any issues that arise, we cannot be everywhere all at once. We require communication from property users to report issues that they witness. If you see something, say something.

KSR does not allow non-service animals onto the property for health and safety reasons. We do not allow pets of any kind into our accommodations, or to roam the property.

We cannot allow ESAs (emotional support animals) due to a lack of standardized accreditation.

We allow Registered Service Animals on the property. If you have a registered service animal and will have them with you while you do field work, contact the Station Manager immediately.

All Registered Service Animals:

• Must have their up-to-date accreditation
• Must wear appropriate signage while working and in common-use spaces
• Are the responsibility of their handler in terms of feeding, clean up, etc
• Must be leashed while out in the field, unless required for their scope of service

All KSR users and residents are allowed to use lab space. If you require dedicated lab space, contact the Station Manager. Lab users are required to:

• Keep their assigned space clean
• Store equipment in an organized and respectful manner
• Label their equipment and samples clearly
• Respect common-use spaces
• Clean out food that has been left in common-use fridges, etc
• Wash any dishes they use in the common-use kitchen
• Not keep samples in freezers/fridges for longer than a season
• Not block hallways, thoroughfares or rooms unless previously approved by the Station Manager

Occasionally, outside groups or undergraduate courses will also require use of the lab space. Such events will be communicated to users as soon as possible.
